How Xnet Waste Manager handles personal data

For the skip firms who use it, and for their customers who book a skip through it, on a website chat or on WhatsApp. Last updated 12 October 2026.

Who we are

Xnet Waste Manager is run by Xnet Technology Ltd, a company registered in England and Wales (company number 16607127), registered office 26 Sims Close, Ramsbottom, Bury, BL0 9NT. You can reach us through our contact form, by WhatsApp, or by post at that address. This page covers the Xnet Waste Manager service. Our websites and their cookies are covered by our website privacy policy.

Two roles

  • For the skip firms who use it (their staff accounts, billing and support), Xnet Technology Ltd is the controller.
  • For the firms' own customers (people who book or ask for a skip, and the waste records a firm keeps), the skip firm is the controller and we process the data for them, on their instructions. If you booked a skip, the firm you booked with decides how your details are used, and you can ask them, or us, about it.

What we hold

  • Firm accounts: names, email addresses and roles of the people who sign in, sign-in records, billing details (card payments are handled by Stripe; we never see the card number) and support messages.
  • Waste records: what each firm records about loads it receives, including carrier and vehicle details, which it must report to the regulator through Defra's Digital Waste Tracking service.
  • Bookings and requests: a customer's name, phone number, email address if given, delivery address, the skip they want and any notes about access.
  • Chats with a firm's booking assistant: the messages exchanged, on the firm's website or on WhatsApp. On WhatsApp we also receive your WhatsApp number (unless you use a username that hides it) and your WhatsApp profile name.

The booking assistant

A firm can switch on an AI booking assistant that chats with its customers on its website and, if the firm connects it, on WhatsApp. It answers using the firm's sizes, prices, dates and notes, and books a skip or passes the chat to the firm's office to call you back. It only replies to people who message it first, and on WhatsApp it only joins a chat started from the firm's booking link. If someone from the firm replies to you on WhatsApp, the assistant stops and the firm takes over.

To write its replies, the messages are processed by Anthropic, the company behind the Claude AI. Anthropic do not use them to train their AI. WhatsApp messages also pass through Meta, which runs WhatsApp, under WhatsApp's own terms and privacy policy. When the firm answers your request, we may send you the booking, or a decline, on WhatsApp as well as by email.

Why we use it

  • To provide the service a firm has signed up for: bookings, waste records, invoices and the reports the law requires (contract, and the firm's legal obligations).
  • To answer and book for a firm's customers who contact it (the firm's legitimate interest in taking bookings, and taking steps at your request before a contract).
  • To keep the service secure and working, and to fix problems (our legitimate interest).

We do not sell personal data, and we never send marketing on a firm's behalf.

Who else handles it

Only these service providers, each under a contract that limits them to providing their service:

  • Akamai (Linode): hosts our servers, in the UK.
  • Anthropic: processes booking assistant messages to write replies.
  • Meta (WhatsApp): carries WhatsApp messages, for firms that connect WhatsApp.
  • SMTP2GO: sends our emails.
  • Stripe: takes card payments for firms and for their customers.
  • Cloudflare: the check on public forms that stops automated spam.
  • Defra: receives the waste records the law requires a firm to report.

Some of these providers may process data outside the UK, including in the United States. Where they do, it is protected by the safeguards UK data protection law requires.

How long we keep it

  • Booking assistant chats, on the website or WhatsApp: deleted after 90 days.
  • Online requests that were never answered: deleted after 180 days.
  • Bookings, invoices and waste records: kept for as long as the firm keeps them, which for waste records includes the periods the law sets. A firm can export its data and close its account at any time; its data is then deleted.

Deleting your data

If you booked or chatted with a firm through Xnet Waste Manager, on its website or on WhatsApp, you can ask for your data to be deleted:

  1. Ask the firm you booked with, or send us a message through our contact form with the firm's name and the phone number or WhatsApp number you used.
  2. We delete your chats and requests, and tell the firm so it can delete your details from its bookings, within 30 days, and confirm when it is done.
  3. Waste records a firm must keep by law, and invoices it must keep for tax, cannot be deleted before those periods end; we tell you if that applies.

Deleting a WhatsApp chat on your phone removes it from your phone only; ask as above to have our copy removed.

Your rights

You can ask for a copy of your data, to have it corrected or deleted, or to object to how it is used. Ask us through the contact form. If you are not happy with our answer, you can complain to the Information Commissioner's Office.
